Accounting/Administrative Assistant

Reporting to the Office manager, this role will play a key role in customer service and administrative support across departments.  The primary responsibilities will focus on daily, weekly and monthly accounting tasks associated with Accounts Receivables, assisting HR with employee related data/information entry and maintenance, meetings and other managers with client services matters. A great opportunity to expand your knowledge in the innovation of Engineering and Design.

You will:

Accounts Receivable

​

  • Organize and process daily/weekly receipts 

  • Generate and send out invoices

  • Follow up on, collect and allocate payments

  • Maintain customer files and records

  • Update and maintain the current billing system with payments and billings information

  • Communicate with customers via phone, email, or mail

  • Reconcile payments made and prepare monthly A/R status reports 

  • Process credit applications / contact customer references

  • Perform other duties as required

 

HR/Department Support

  • Assist with collection and maintenance of employee data information 

  • Organize and maintain office supply inventory

  • Participate in organization of company events

  • Assist in scheduling meetings, company events and employee appreciation initiatives

  • Assist in organizing professional training programs 

  • Perform other duties as required

Requirements

​

  • Enrolled in an Accounting, Business/Administrative Admin or a related field program with an accredited school/college/university or, the equivalent of 2 years experience in an accounts receivable or administrative role

  • Strong knowledge of Microsoft Office – Excel, Word, Powerpoint, Teams

  • Knowledge of Simply Accounting Software is an asset

  • Some knowledge of general accounting principals 

  • Strong organizational and time management skills with a proven ability to work in a fast-paced environment with time-sensitive deadlines

  • Excellent attention to detail and accuracy

  • Strong verbal and written communication skills

  • Solution oriented with a “Can do” attitude

  • Ability to work well both independently and as part of a team required

  • Commitment to learning and development 

  • Commitment to establish and maintain courteous and professional working relationships in a diverse cultural environment
